Short answer

A good school fee reminder is short and polite, and names the child, the amount, the due date, and how to pay, with a contact for questions. Send the first one a few days before the due date and a firmer one after it. Keep the tone respectful: most late fees are forgetfulness, not refusal.

What every reminder should say

  • The child's name and class, so the parent knows which child it is about.
  • The amount due and the due date.
  • How to pay: online link, counter hours, or bank details.
  • Who to contact if there is a problem, such as a concession request or a wrong amount.

1. A few days before the due date

English: Dear Parent, this is a gentle reminder that the fee of ₹[amount] for [child's name], Class [class], is due on [date]. You can pay online at [link] or at the school office between [hours]. For any question, please call [number]. Thank you, [School name].

2. On the due date

English: Dear Parent, today is the last date for [child's name]'s fee of ₹[amount]. If you have already paid, please ignore this message. Pay online: [link]. – [School name]

3. After the due date

English: Dear Parent, the fee of ₹[amount] for [child's name], due on [date], is still pending. We request you to pay it by [new date] to avoid a late fee of ₹[late fee]. If there is any difficulty, please speak to us at [number]; we are happy to help. – [School name]

4. Final reminder

English: Dear Parent, despite earlier reminders, ₹[amount] for [child's name] remains unpaid. Please clear it by [date] or meet the principal to discuss a plan. – [School name]

Never mention a child's unpaid fees in a class group or in front of other students. Send reminders to the parent alone.

Tips that get fees paid

  • Send the first reminder 3 to 5 days before the due date, when parents can still plan.
  • Put a direct payment link in the message; every extra step loses payers.
  • Thank parents who paid, and stop reminders the moment a payment comes in.
  • Keep the late fee and the date it applies from written down and the same for everyone.

How EduRit does it

EduRit reminds parents automatically in the app before and after the due date, with a Pay now button that takes UPI, card, or net banking into the school's own Razorpay account. Reminders stop once the invoice is paid, the receipt is created automatically, and the defaulters list updates itself.
